About this policy

VicSanityX Training Solutions LLC operates https://vicsanityxtrainingsolutions.com and the associated VicSanityX client experience. This policy describes information processed through our website and connected apps. Contact us about privacy at vsxts@vicsanityxtrainingsolutions.com.

Information you provide

When you create an account, complete an intake form, purchase a product, contact us, or use training features, we may receive your name, username, email, phone number, billing or shipping details, age, goals, exercise experience, equipment availability, injury information you choose to provide, workout records, measurements, notes, and uploaded photos. Please provide only information relevant to your training and avoid including unnecessary medical records or sensitive information in community posts.

Nutrition diary and macro targets

If you use the recipe builder, we store recipe names, ingredient food and nutrient records, quantities and serving counts with your private account. Planning a recipe saves its ingredient snapshot for grocery calculations; later recipe edits or deletions do not alter that planned snapshot or logged food. Recipes and planned ingredient snapshots are included in nutrition export and erasure. Grocery downloads are created on your device from your selected planned week.

Weekly meal plans and grocery quantities are stored with your account separately from foods logged as eaten. An authorized coach can send you proposed daily macro targets, planned foods and notes. You can review, apply or decline these assignments; this feature does not give coaches access to your private food diary. Applying a plan preserves existing planned foods and does not mark meals as eaten. Coach assignment records are included in your nutrition data export and erasure.

When you use My nutrition, we process and store the foods and meals you log, serving descriptions and quantities, diary dates, calories and macronutrients, saved foods, and daily macro targets. The website and connected apps use the same private account diary. Calculator inputs are processed to produce an editable adult estimate; this feature does not retain the raw calculator profile inputs. Nutrition entries are private to your account and are not shared with coaches, the community, Apple Health, or Health Connect by this first nutrition release. Nutrition records, targets, and saved foods are included in account data exports and deletion or erasure processing. Deleting a diary entry removes its food and nutrient details from the active service; a minimal identifier/version record prevents delayed saves from restoring it. Hosting backups follow the retention practices described in this policy.

Food lookup, barcode scanning and meal plans

Food search sends the search words or scanned or typed barcode number to USDA FoodData Central through our server. Your account identity, diary, body measurements and macro targets are not sent with these lookups. Camera and barcode-photo images are decoded on your device and are not uploaded by this feature. Public food lookup results may be cached temporarily. Planned foods, dates, meals, quantities and nutrients are stored privately under your account and included in account export and erasure processing. Planned food affects consumed diary totals only when you log it as eaten. Removing a plan does not remove an already logged diary entry.

How information is used

We process information to manage accounts, deliver purchased and assigned programs, support coaching, record workouts and progress, fulfill orders, send service emails, enable conversations, respond to requests, and maintain the service. Marketing messages depend on the preferences or consent collected for that purpose. You may unsubscribe from marketing emails; account, order, and service messages may still be sent.

Sale of information and promotional use

We do not sell client personal information or share it with third parties for their advertising. We use client progress photos, transformation stories, or training statistics in our own promotional materials only with the client’s specific permission. Uploading a photo or recording progress does not by itself grant promotional permission. You can decline without affecting your coaching service. To withdraw permission for future promotional use, contact vsxts@vicsanityxtrainingsolutions.com. We cannot guarantee removal of copies already saved or reposted by others.

Coaches, community, and messages

Authorized coaches and administrators may access information needed to provide and support your service. Profile names, usernames, profile pictures, and content you share in the community may be visible to other members or visitors according to the feature and its audience. Progress records and progress photos are intended for your account and authorized coaching access, rather than public community display. Private messages are stored by the service and shared with conversation participants. Administrators may access stored information when necessary for support, security, or lawful requests. Messages are not represented as end-to-end encrypted. Other members may save or share content you send them.

Photos and imported workout history

You choose which photos to upload. A community profile photo serves a different purpose from a private progress photo. Uploaded files may contain embedded metadata; remove location or other unwanted metadata before uploading. When you upload a JEFIT export, we process supported records in that file to add history to your account. This import does not require your JEFIT password and does not create a continuous connection to JEFIT. Importing history does not automatically transfer every feature or record from the original service.

Orders and payment services

Order information is processed through our store and the payment provider selected at checkout. Payment providers handle payment credentials under their own terms and privacy policies. We may retain order details and payment references for fulfillment, refunds, accounting, and support. Review the payment provider information presented at checkout.

Hosting, email, and other providers

Our service uses WordPress and supporting plugins and is hosted through Bluehost. Service providers may process information needed for hosting, storage, email delivery, payments, security, or other enabled functions. Our business Google Workspace/Gmail connection through FluentSMTP is used to send site emails, including account notices, order messages, and form notifications. This business-mail connection is not a request for access to each client’s Gmail mailbox. Authorization credentials for the business email connection are stored by the email integration to maintain delivery.

Cookies, device information, and external content

The website uses cookies and related storage for functions such as login sessions, cart contents, and preferences. Hosting and service systems may process technical information such as IP addresses, browser or device details, request times, and error logs. Connected native apps use device storage for login credentials and app functions. Gravatar may receive an email-derived hash when the service checks for an associated avatar. Embedded videos, external links, and third-party services may collect information under their own policies when you use them.

App sessions and optional notifications

The iPhone and Android apps store login credentials in protected device storage. If you allow phone notifications, we associate the device notification token and platform with your account to deliver relevant service alerts, such as messages and training updates. Android delivery uses Firebase Cloud Messaging; iPhone delivery uses Apple Push Notification service. Notification providers process the token and alert payload needed for delivery. Notification previews may appear on your lock screen according to your device settings. You can change notification permissions in your phone settings; signing out attempts to unregister the account’s token.

Retention and security

Account, training, message, and order records may remain stored while needed to operate the service and meet applicable obligations. Some records may remain in backups or be retained for accounting, dispute resolution, fraud prevention, or legal requirements after an account request. Retention varies by record and provider; contact us for information about a particular record. We use access controls and other measures intended to protect information, but no online system can guarantee absolute security.

Your choices and requests

You may update available profile fields and notification preferences in your account. To request access to your information, correction, an export, or deletion of your account and associated records, email vsxts@vicsanityxtrainingsolutions.com. We may need to verify your identity. We will assess requests under applicable law and explain any records that must be retained. Removing your account cannot remove copies of content others have already saved or information controlled by independent providers.

Children and sensitive information

Our client training service is intended for adults age 18 and older. We do not knowingly collect personal information from children through client accounts. If you believe a child has provided information, contact vsxts@vicsanityxtrainingsolutions.com so we can investigate and address it. Fitness intake and progress information can be sensitive. Do not create an account on behalf of another person without their authorization.

Changes and contact

We may revise this policy as the service changes. The published page will state its update date. Questions and privacy requests can be sent to vsxts@vicsanityxtrainingsolutions.com.

Optional health connections

With your permission, the native apps can read the health categories you select from Apple Health on iPhone or Health Connect on supported Android phones: steps, sleep, body weight, workout history, food calories and water. Supported availability varies by device and platform. The app does not request permission to write health data. Selected readings are sent to your VicSanityX account for a recent, rolling 14-day view alongside fitness progress. This describes the imported view, not a guarantee that all copies or hosting backups expire after 14 days. Sync occurs when you open the app. Imported health readings are intended for your private account and are not supplied to coaches, advertising or analytics by this feature. Food calorie and water imports remain separate from the food diary and macro targets. You can change permissions in Apple Health or Health Connect, disconnect the feature, and use the available removal controls for imported readings.

Private Health & Lifestyle records

If you choose to use the private health tools, we store the records you enter, including medication or peptide vial details, taken/skipped/missed entries, route or site notes, symptoms and wellness observations, clinician-directed schedules, lab or vital results, reference ranges, collection context, clinician questions and private PDF reports. These records are separate from community posts and are not automatically shared with your fitness coach. Authorized administrators may access information when necessary for support, security or lawful requests. Reports may contain your name or other identifiers; remove unnecessary identifiers from a copy if you prefer. Private reports use an account-authorized download flow rather than the public media library. Exports and appointment summaries contain the records you select; you decide whether to save or share them using your device’s download or share controls. Copies you export or give another person are outside the app’s deletion controls. These private records are included in the applicable account export and erasure workflows.

Optional AI lab assistance

AI processing is not enabled merely by uploading or storing a private report. When this feature is configured and released, it asks for your explicit consent before sending a selected report, image or selected verified results to OpenAI for the requested extraction or educational explanation. It does not send your entire account or automatically share results with a coach. The app asks the provider not to store the response using the API’s response-storage setting; this does not promise zero retention. Provider safety logs and other retention rules may still apply under the configured OpenAI project’s terms. AI can misread values and produce incorrect explanations. You must compare every extracted field with the original report. The feature is not diagnosis, prescribing, treatment advice or emergency monitoring. Provider processing, consent wording and release availability must be verified before client access is enabled.

Profile banners and shared content

Profile photos, banners, comments and content you choose to post may be visible to the audience of that profile or community area. A banner preview does not by itself save the image; saved profile media is different from a private progress photo or private health report. Other people may save shared content. Do not upload private lab reports or unnecessary medical information into public profile or community areas.

Account deletion requests

You can start an account deletion request inside the app or at the account deletion page. After you confirm the email link, our team processes the request, erases the associated records, removes the account and remaining private uploads, and sends a completion notice. The request itself does not delete the account immediately. Some transaction records, security records or backups may remain where needed under the retention practices described above. Contact vsxts@vicsanityxtrainingsolutions.com for the status of a request or questions about retained records.

Android external purchases

When Android digital purchases are enabled through the Google Play external content links program, Google checks eligibility and supplies a transaction token for each purchase-link attempt. We associate that token with the selected app account and website checkout to report the transaction and allocated refunds to Google. Reports include transaction identifiers, purchase/refund times, currency, digital purchase amounts and taxes, and billing country/state. Google processes this reporting under its own terms and privacy policy. Reporting does not include workout history, private health records, lab reports or message content. Website checkout still uses the payment providers described in this policy. Financial reporting records may be retained where required for accounting, reconciliation or applicable obligations.
